Fence estimating software that quotes before you leave the driveway

Fence estimating software exists to turn a measured fence line into a priced, professional quote quickly and without math errors. With Bolster you draw the run on a satellite image, choose the fence style, and the posts, rails, panels or pickets, concrete, gates, hardware and labor are calculated and priced for you. The homeowner can review options and sign while you are still on site.

Fencing is a speed game. The first contractor to put a clear, itemized price in front of the homeowner usually wins, and fence companies that quote from a notebook and a spreadsheet lose jobs to slower-quality competitors who simply answer first.

What fence contractor software should include

  • Linear takeoff on a map or plan. Measure each run, corner and gate opening from satellite imagery instead of re-walking the property.
  • Fence assemblies. A "6 ft cedar privacy" item that knows post spacing, rails per section, pickets per foot, concrete per post and labor per foot.
  • Material options. Wood, vinyl, aluminum, chain link and ornamental steel priced side by side so the client can compare.
  • Current pricing. Lumber and steel move quickly; stale price lists cost margin on every job.
  • Professional quotes with e-signature. Itemized, branded, approved online.
  • Deposits and payments. Collect the deposit when the quote is signed so materials can be ordered.

How to estimate a fence job

A fence estimate that holds up follows the same steps every time, whether you do it by hand or in software.

  • 1. Measure total linear footage and note every corner, end, gate and grade change. Check the property line and any HOA or permit rules before you price.
  • 2. Count posts. Divide each run by your post spacing (commonly 6 or 8 feet), round up, and add posts for every corner, end and gate.
  • 3. Count sections and infill. Rails per section, pickets or panels per section, or fabric and top rail for chain link.
  • 4. Add concrete and hardware. Bags of concrete per post based on hole size and depth, plus brackets, fasteners, caps and gate hardware.
  • 5. Price gates separately. Gates carry their own frame, hinges, latch and labor, and are where many fence quotes lose money.
  • 6. Price labor by the foot and by the post, with adders for removal of old fence, rock, slopes and haul-away.
  • 7. Apply overhead and markup, then present options such as a taller fence, upgraded material or decorative caps.

Illustrative example: 150 linear feet of 6 ft privacy fence with one 4 ft walk gate, 8 ft post spacing. That is 19 line sections, about 21 posts once corners, ends and gate posts are added, two or three rails per section, pickets for 146 feet, around two bags of concrete per post, the gate assembly, and labor for install plus removal of the old fence. Built as an assembly, all of that recalculates the moment the client asks "what if we go 200 feet?" These figures are an example only; use your own spacing, materials and rates.

How Bolster handles fence estimating

In Bolster, Takeoff measures fence lines on satellite imagery or plans and links the lengths straight into your fence assemblies. Estimating runs the formulas for posts, sections, concrete and labor, and AutoCost keeps material and labor prices current for your region. You build each fence style once and reuse it on every job.

The estimate becomes an interactive quote automatically. Show cedar, vinyl and aluminum side by side, let the homeowner add a gate or upgrade the height, and take a digital signature and deposit on the spot. When the job is booked, Bolster creates the install schedule, the material list for your yard or supplier, and the budget to track actual costs.

Fence companies using Bolster

Che Whitaker of Patriot Fencing and Construction grew monthly revenue from $14K to $82K in two months after moving to interactive Bolster estimates. Mike Cappo of Nola Fence Solutions sent a $770,000 multi-property fence proposal in 20 minutes, a job that used to take hours to price.

Common fence estimating mistakes

  • Miscounting posts at corners and gates. Each gate needs its own heavier posts, and every corner and end adds a post that a simple length-divided-by-spacing calculation misses.
  • Ignoring grade. Sloped yards need stepped or racked panels, longer posts and more labor.
  • Leaving out removal and haul-away. Tearing out an old fence, pulling concrete footings and disposal can take as long as the install.
  • Underpricing gates. A double drive gate with heavy hinges, a drop rod and extra concrete costs far more than the same length of fence.
  • Rock and roots. Difficult digging should be a priced adder or a documented allowance, not a surprise you absorb.
  • Old price lists. Lumber and steel prices move. A quote built on last season's prices can turn a profitable job into a loss.

Pricing fence repairs versus new installs

Repairs and partial replacements are small, frequent and easy to underprice. Set a minimum job charge that covers travel and setup, price repairs per section or per post, and save the most common repairs as templates so they take seconds to quote. New installs should always be built from measured runs and assemblies, so the price scales correctly with length, height and material.

Following up on fence quotes

Homeowners often get three fence quotes. The Bolster CRM pipeline tracks every lead and alerts you when a homeowner opens or changes their quote, so you know who is actively deciding and can follow up at the right time.

Fence estimating software versus a spreadsheet

Plenty of fence companies run on a spreadsheet that one person built and only that person understands. It works until the owner wants someone else to quote, prices change, or a homeowner asks for three material options. Fence estimating software keeps the formulas, materials and labor rates in one shared catalog, so every estimator prices the same fence the same way, prices update without editing cells, and options are a click instead of a second spreadsheet tab. The quote the homeowner sees is also far more professional than a PDF export of a sheet.

Commercial, builder and multi-property fence work

Builder and property management work brings repeat scopes across many addresses. Assemblies make those jobs fast: build the standard fence once, then quote each lot or property from its measured length. Nola Fence Solutions used this approach to price a $770,000 multi-property proposal in about 20 minutes.

What every fence estimate should show the homeowner

  • Fence style, height and material, with a photo.
  • Total linear feet and number of gates.
  • Removal and disposal of the existing fence, if included.
  • Who handles permits, utility locates and property line confirmation.
  • Options and upgrades with their prices.
  • Payment schedule: deposit, completion payment and accepted methods.
  • Warranty terms and expected timeline.

Clear quotes reduce back and forth and set expectations before the first post goes in. Book a demo to see a fence quote built from a satellite measurement in a few minutes.

Frequently asked questions

What is the best fence estimating software?

The best fence estimating software measures fence lines on a map or plan, calculates posts, sections, concrete and gates automatically, keeps material prices current and produces a quote the homeowner can sign online. Bolster does all of that and also handles scheduling, material lists and payments.

How do you calculate how many fence posts you need?

Divide each straight run by your post spacing, round up, then add posts for every corner, end and gate. In Bolster this is a formula inside the fence assembly, so the count updates whenever the length changes.

Can I measure a fence line from satellite imagery?

Yes. Bolster Takeoff lets you draw fence runs on satellite imagery or uploaded plans and links those lengths to your estimate items.

How do I price fence installation labor?

Price labor per linear foot for the infill and per post for setting posts, then add separate labor for gates, old fence removal, difficult digging and slopes. Assemblies keep those rates consistent across estimators.

Can homeowners choose between fence materials in the quote?

Yes. Bolster presentations can show wood, vinyl, aluminum or chain link as options with their own prices, and the total updates as the homeowner chooses.

Does Bolster work for commercial or multi-property fence jobs?

Yes. Nola Fence Solutions used Bolster to price a $770,000 multi-property fence proposal in about 20 minutes.
